Who runs SoloCogs: SoloCogs is the brand name for the online learning platform operated by Portsdown Tuition, a sole-trader business based in Portsmouth, England. Throughout this policy, "Portsdown Tuition", "we", "us", and "our" refer to the operator and legal entity. "SoloCogs" refers to the platform, service, and brand we provide to families, schools, and tutors. The data controller for personal data processed through SoloCogs is Portsdown Tuition.

1. Purpose
SoloCogs is designed as a safe, supportive learning environment for young people. This policy sets out how the platform may and may not be used. It applies to all users - students, parents/carers, and any other account holders.
2. Permitted Use
The SoloCogs platform may be used to:
- Access learning resources and complete activities for educational purposes
- Complete SoloCognition assessments to support revision and study planning
- Use the wellbeing check-in to communicate how you are feeling
- Communicate with the SoloCogs team through the platform's designated channels
- Manage account and subscription details
3. Prohibited Use
Users must not:
- Share their login credentials with anyone else, or use another person's account
- Attempt to access areas of the platform they are not authorised to use
- Use the platform to bully, harass, intimidate, or target any other person
- Submit content that is offensive, discriminatory, sexually explicit, violent, or otherwise inappropriate
- Use the platform's notes or messaging features to share content that is illegal or harmful
- Attempt to reverse-engineer, scrape, or extract content or system data
- Use automated tools or bots to interact with the platform
- Misuse the wellbeing check-in system - for example, submitting false or misleading information designed to cause alarm
- Reproduce or redistribute platform content without written permission
4. Student-Specific Expectations
Students using SoloCogs are expected to:
- Engage with the platform honestly - quiz responses and confidence ratings should reflect genuine understanding
- Use the wellbeing check-in to express how they genuinely feel
- Treat all platform content and tools with respect
- Let a trusted adult know if they see anything on the platform that worries or upsets them
Students are never penalised for how they feel, for getting answers wrong, or for having low confidence. The platform is designed to support - not judge.
5. Parent and Carer Responsibilities
Parents and carers who hold accounts are responsible for:
- Ensuring student accounts linked to their account are used only by the registered student
- Ensuring their child understands and follows this policy
- Notifying SoloCogs if they become aware of any misuse
- Keeping their own account credentials secure
6. Consequences of Misuse
Violations of this policy may result in:
- A warning and discussion with the account holder
- Temporary suspension of platform access
- Permanent account termination without refund, in serious cases
- Referral to relevant authorities where the misuse involves illegal activity or a safeguarding concern
7. Reporting Misuse
If you become aware of misuse of the platform - by yourself, your child, or anyone else - please report it via the contact page as soon as possible. Reports are handled confidentially and without judgement.
